The following are general building guidelines and procedures for the Markee Pioneer Student Center and Ullsvik Hall: Velzy Commons & Nohr Gallery which are to be followed by all guests of the buildings. Student Centers student and professional staff are responsible for the enforcement of these guidelines. The purpose of these guidelines is to ensure that the property and facilities of the Markee Pioneer Student Center and Ullsvik Hall are used safely and responsibly for the educational, cultural, and social benefit of the UW-Platteville community.

Policies


Cancellations

University organizations failing to cancel space twice during the year will lose meeting and event space privileges.

Non-university organizations or guests failing to cancel space within the timeline as indicated will be responsible for room rentals and any incurred charges. Groups will forfeit all room deposits as well.

A $25.00 no-show fee is charged to all groups failing to cancel their reservation.

Financial Responsibility

No reservation can be confirmed until the appropriate account number, deposit, and/or purchase order and authorization are obtained. Past due invoices must be paid in full before future events may be held.

Deposits and prepayment of estimated charges are required for non-university groups. Estimated charges will include equipment, labor, outside rental, taxes, and facility rental costs. Estimates are based upon information provided at the time of your reservation request. Actual charges may differ.

University groups that are charging a fee for an event, or are being reimbursed for facility use will be charged room rental fees.

Groups with outstanding invoices at the end of a semester will be denied reservation privileges until the bill(s) have been paid.

All charges are subject to state and local taxes, if applicable.

Responsible Use

A sponsoring organization is responsible for charges, fees and damages caused by members of the organization or by anyone attending the event. A $25.00 administrative fee may be added to damage charges.

If a group falsifies reservation information, their reservation privileges will be revoked.

Standard Room Setups

To maximize use of meeting facilities several rooms have standard set-ups based upon established use. Building staff must do any rearranging of furniture or equipment. Labor charges will be assessed if the room is reset. Please refer to Room Sizes and Capacities section for additional room information.

Audiovisual Equipment

A full range of audiovisual equipment is available through the Student Centers department. All groups will be charged for audiovisual equipment.

Additional equipment can be rented from outside vendors when the Students Centers' inventory is inadequate. Actual rental costs will be passed on to the sponsor, plus a $10.00 processing charge.

Trained staff is available, at an additional charge, to assure the success of complicated audiovisual set-ups, or for events where problems must be resolved immediately. In some instances, the Student Centers Administration may require AV personnel for an event. Production Services staff is usually required in the Center for the Arts.

Food Service/Catering

UW-Platteville Dining Services provides catering, concessions, and retail food sales on the campus. All food requests for groups must go through the Catering Office. No food or beverage may be brought into or served on campus unless provided by UW-Platteville Dining Services.

Fund Raising & Solicitation

Must occur in locations designated by building policies. Reservations of space must be made in advance. Distribution, solicitation, or fund raising will not be allowed away from assignable spaces.

Fund raising and/or solicitation for donations by student organizations requires approval from the Pioneer Involvement Center at 342-1075. See the UW-Platteville Student Organization Handbook for additional information.

Non-university organizations or guests are charged $25.00 per day per table (Exception: Credit card vendors are charged $100.00 per day per table). Payment must be received a minimum of 5 days in advance.

Decorations

The Student Centers Administration must approve all decorations prior to the event. The use of tape, thumbtacks, nails, staples, screws or adhesives on any surface is strictly prohibited. Suction cups may be used to hang items on glass surfaces. When requested in advance and hooks are available, decorations maybe hung from suspended ceilings.

The use of glitter, sequins, confetti, or similar fine, difficult to vacuum items is strictly prohibited. Additional cleaning costs will be assessed if such materials are used.

To comply with state and local municipal codes, all decorations must be flame retardant.

For safety and liability reasons, only Student Centers operations staff may hang articles from any height not attainable from a six-foot stepladder.

All decorations must be removed completely at the end of the event.

For your convenience, UW-Platteville Catering Services provides decorating services at a reasonable cost.

Fire Safety

In the interest of public safety, patrons are asked to follow all fire safety regulations. This includes the following:

  1. Fire code capacities for meeting rooms
  2. Keeping aisles and doorways clear and unobstructed
  3. Candles, incense, fog machines, pyrotechnics, "smudging", fire or explosives are not allowed.

If an exception can be made, additional costs may be involved. Additional permits and fees may be required by the Platteville Fire Department to evaluate requests for these items. Allow at least two weeks for processing.

Smoking

All state buildings are smoke free areas. Smoking is only permitted outdoors on the UW-Platteville campus, at least 25 feet from any building. This non-smoking policy complies with the Wisconsin law.

Storage of Materials/Equipment

Student Centers Administration discourages on-site storage in reserved space. UW-Platteville and UW-Platteville Student Centers are not responsible for lost, damaged or stolen items. Storage is at the event sponsor's own risk. Storage is not allowed in reserved space after reservations have ended.

Storage space is limited within the Markee and our satellite facilities; therefore storage outside of reserved space is not available for patrons.

Extended Hours

Requests are made through the Event Reservations Office at least ten working days in advance. Approval is subject to staff availability. Additional fees and operating costs will be charged to the group making the request.

Room Usage

Rooms may be occupied only during their reserved time. Events at the Markee normally do not begin until 30 minutes after the building has opened. Events should end no less than 30 minutes before the Markee closes. Groups who have not made previous arrangements with the Event Reservations office to exceed these limits must vacate the facilities. Persons remaining after the scheduled end time of the reservation may be asked to surrender the room to the building staff for preparation for the next event.

UW-Platteville classes may use the Markee facilities for special events not done on a regularly scheduled basis.

Event Security

The Student Centers Administration may require uniformed security officers to be present at the sponsoring organization's expense. When uniformed security officers are required to be present, the costs will be billed to the sponsoring group as part of the event cost. The Event Reservations office will work with groups to schedule the officers through the Grant County Sheriff's Office, and arrange for payment of the officers.

Parking

Permits are required to park on campus. Daily parking permits are available for a nominal fee at the Markee Information Center.

Metered spaces require payment as posted. Parking permit regulations are strictly enforced Monday-Friday during the academic year.

Arrangements for parking permits for speakers or key event contacts should be made through the University Police Department, (608) 342-1584.

Fire lanes, loading zones and handicap-parking regulations are enforced at all times. Violating vehicles will be towed and ticketed by the Platteville Police Department.

Ticketed Events

Customers are asked to use the University Box office services for ticketed events. In some situations, customers will be required to use the University Box office.

Rights Reserved

Student Centers Administration reserves the right to change room reservations in order to maximize use of our facilities for our customers.

Student Centers Administration reserves the right to cancel or alter any reservation that conflicts with the general policy and educational mission of the University of Wisconsin-Platteville.

Student Centers Administration reserves the right to deny service to organizations that have violated reservation policies or are not in good standing with the University until privileges have been reinstated by the Student Centers Director or their designee.
