Student Employee Payroll:
Kronos WorkForce Timekeeper
Web Based Time Entry (Time Stamp Method)

Students who previously worked on campus, but do not have a current “active” appointment will have their password reset to their initial password.

Appointments automatically terminate at the end of spring and summer semesters.

All positions require a new work authorization each fall and summer.
INITIAL PASSWORD INSTRUCTIONS
Passwords are initially set to the individual’s last name in lower case letters.

If a student’s last name has less than 5 letters, the word pass is added to the end of the name. (i.e. Last Name: Key; Password: keypass)

You will be forced to change your password the first time you log on.

Passwords for Kronos Workforce Timekeeper must contain at least 5 letters or numbers (no special characters may be used). Password is case sensitive.

  1. Logging Off/On
  2. Employee Timecard-submenu Time Stamp, seen when you point your cursor at Employee Timecard
  3. Account Transfer
  4. Employee Reports

LOG ON
  1. Enter your payroll User Name (6 digit number) in the User Name field. Contact your supervisor if you are unsure about your User Name. Your User Name for payroll purposes is not your email address or campus computer ID.
  2. Enter your payroll password in the Password field. (case sensitive)
  3. Click Log On or press the Enter key.

Please wait If you see gears running below Password, wait until they have stopped before continuing. If prompted to install the java plug-in, follow the directions that appear.
Note: The following screens may appear if you do not enter a proper User Name and password combination when attempting to access Kronos Workforce Timekeeper. incorrectIf this screen appears, carefully re-enter your User Name and password then click Log On. Passwords are case sensitive.
red screen If this screen appears, contact the Payroll Office 342-1178. Your password will be reset to your initial password. If you have forgotten your User Name, contact your supervisor.

FYI

“Cancel all meal deductions” is not applicable for student payroll

JOB SELECTION STEPS – this must be done at the beginning of each shift

Click on Menu arrow for the Transfer box.
Select “Search.”

The Select Transfer screen then appears

  1. Click the Appt-Job radio button.
    Do NOT select Department or Supervisor.
  2. Select the appropriate appointment/job.
  3. The appointment ID will appear in the box under the Name column; the appointment/job description will appear in the box under the Description column.
  4. Click OK.
  5. Computer returns to the time stamp screen.

Time Stamping To Record an In Punch (beginning of shift)

The appointment number for the job selected is displayed in the Transfers box. If this box is blank repeat the job selection steps above.

Click Record Time Stamp.

The computer will return to the log on screen.

Time Stamping To Record an Out Punch (End of Shift)

Do not select your appointment/job when punching out. Transfer box must be blank.

Click Record Time Stamp

The computer will return to the log on screen.
Contact your supervisor(s) with problems regarding time punches or errors in hours paid. The supervisor will fix the problem and/or contact the payroll office on your behalf. No hours, payroll adjustments or time stamp adjustments can be taken directly from students by the payroll office.

If you get additional postions on campus you must have a new work authorization. The work authorization must be completed before you begin employment to have your time recorded properly and your time paid at the correct pay rate.
