Step 1: Decision to Search and Authorization to Fill Vacancy
Timeline: As far ahead of starting date as possible
Form 1 – Position Request (justification for the position and parameters and responsibilities of the position)
Signatures required: Department Chair or Program Director, Dean or Assistant Chancellor, Affirmative Action Officer, and Vice-Chancellor
Permission denied — Scrap or rethink the request
Permission granted — Proceed to Step 2

Step 2: Search Plan and Authorization to Recruit
Timeline: Usually 4-8 weeks before the application deadline or beginning of review
Form 2 – Recruitment Request (qualification requirements/position description, recruitment plan and advertising copy, composition of search committee)
Signatures required: Department Chair or Program Director, Dean or Assistant Chancellor, Affirmative Action Officer, and Vice-Chancellor
Permission denied — Make needed adjustments and resubmit
Permission granted — Advertise and proceed to Step 3

Step 3: Prepare Questions/Benchmarks
Timeline: As soon as practical after the ad is sent out and before beginning of review
Send the screening form, reference form, and interview questions, each with benchmarks, to the Affirmative Action Officer/HR Director for approval. Make needed adjustments as requested.

Step 4: Applicant Screening and Authorization to Interview
Timeline: As soon as practical after the application deadline or beginning of review
Form 3 – Interview Request. Attached are Form 3a - Applicant List (with names of all applicants, with reasons for not qualified) Form 3b - Qualified Applicant List (with comparison of qualified applicant pool to interview pool).
Signatures required: Department Chair or Program Director, Dean or Assistant Chancellor, Affirmative Action Officer, and Vice-Chancellor
Permission denied — Redo and resubmit or reopen search
Permission granted — Proceed to Step 5

Step 5: Interviews and Authorization to Make an Offer
Timeline: As soon as practical after screening applicants
Form 4 – Request to Make an Offer (names/qualifications of first choice and all other finalists, names/reason for interviewees no longer being considered
Signatures required: Department Chair or Program Director, Dean or Assistant Chancellor, Affirmative Action Officer, and Vice-Chancellor
Permission denied — Interview others or reopen search
Permission granted — Proceed to Step 6

Step 6: Authorization to Final Hire
Timeline: As soon as the finalist has accepted the verbal offer
Form 5 – Contract Request (finalist information)
Signatures required: Department Chair or Program Director, Dean or Assistant Chancellor, Vice-Chancellor, and Chancellor
