User data, both email and shared drive data, is stored on UWP servers. Periodically, backup copies of this data are saved onto tapes. These backups are for restoration purposes only, i.e., being able to restore user account data in case of a system failure, or in the case of a user accidentally erasing one of their files.

Daily and Weekly Backups

Daily backups for user data are kept Monday through Friday. Six sets of consecutive weekly tapes are stored. Thus, no backups are saved beyond six weeks and all backup tapes are recycled back into use after the six week cycle.

If a user deletes a file in their account on purpose or by accident, that file can be recovered from the backups for a period of up to six weeks. Files deleted more than six weeks prior cannot be recovered. Files or emails which are not deleted from a user's account are kept for as long as their account is kept active.

Systems and Log Files

System files and log files may be retained for up to six months, where practical, for proper administration of systems and statistical analysis of log data. For systems where a six month retention schedule is not practical, those systems will be documented and logs will be maintained for a specified term.
